Understanding Organisations: the top-level container for all your RePro projects, users, and settings.

Organisations are the foundational structure in RePro Stream. Every user belongs to at least one Organisation, and every Project exists within an Organisation. Understanding how Organisations work is essential for managing your RePro account effectively.

What is an Organisation?

An Organisation is the top-level container in RePro Stream that holds:

  • All your Projects

  • All your Organisation Users

  • Organisation-wide settings and security policies

  • Billing and subscription information

  • Organisation Groups (optional, for multi-project user management)

Think of an Organisation as your company, production entity, or facility within RePro Stream. Everything you do in RePro happens within the context of an Organisation.

Organisation Structure

The hierarchy in RePro follows this structure:

Organisation

  ├── Organisation Users
├── Organisation Groups (optional)
├── Organisation Settings
└── Projects
├── Project Users (subset of Organisation Users)
├── Project Groups
├── Channels
└── Programs

This structure means:

  • Project users also become members of the Organisation that owns the project

  • Projects inherit Organisation-wide settings and policies

  • Security features (SSO, 2FA requirements) apply across all Projects

  • Billing is done at the Organisational level, but can be broken down by project as some projects may require additional features

Organisation Admins

Every Organisation has at least one Organisation Admin. Organisation Admins have complete control over:

Project Management:

  • Create, edit, and delete Projects

  • Access all Projects as Project Admin (after adding themselves)

  • Configure Project settings

User Management:

  • Invite users to the Organisation

  • Remove users from the Organisation

  • Assign Organisation Admin privileges to other users

  • View all Organisation Users across all Projects

Organisation Settings:

  • Configure security policies (SSO, 2FA requirements)

  • Manage billing and subscription

  • Set up Organisation Groups for cross-project user management

  • Configure organisation-wide features

Access All Projects:

Organisation Admins can add themselves to any Project within the Organisation and automatically receive Project Admin permissions. However, they must still be added to Projects and assigned to Groups to view content.

Organisation Users

Organisation Users are all the people who have been invited to and registered with your Organisation. Users can be invited in two ways:

1. Direct Organisation Invitation

Organisation Admins can invite users directly at the Organisation level. These users become Organisation members but aren't automatically added to any Projects.

2. Project-Level Invitation

When a Project Admin or Manager invites someone to a Project who isn't yet an Organisation member, that person receives:

  • An invitation to join the Organisation

  • Automatic Project membership once they register

Both invitation methods result in the same outcome: a registered Organisation User who can then be added to Projects.

Registration and Phone Verification

When invited to an Organisation, new users must:

  1. Create a RePro account with email and password

  2. Provide a valid mobile phone number

Organisation vs Project Roles

Users can have different roles at different levels:

Organisation Level:

  • Organisation Admin: Full control over Organisation and all Projects

  • Organisation User: Member of Organisation, can be added to Projects as one of the following roles: standard member, project manager or project admin

Project Level:

  • Project Admin: Full control over a specific Project

  • Project Manager: Can manage users and groups in a specific Project

  • Standard Member: Can view content they have access to in a specific Project

Creating an Organisation

Organisations are created by the RePro team. You cannot self-register an Organisation through the web interface.

To get started with RePro:

  1. Contact [email protected] or use our support chat widget

  2. Discuss your requirements with our team

  3. We'll create your Organisation and invite you as the first Organisation Admin

RePro is currently invite-only to ensure quality onboarding and support for all users.

Organisation Settings

Organisation Admins manage organisation-wide settings from the Organisation Settings page:

Security & Authentication

Two-Factor Authentication (2FA)

  • Enable or require 2FA for all Organisation Users

  • Users configure 2FA in their account settings

Single Sign-On (SSO)

  • Configure Okta OIDC integration

  • Configure Okta SAML integration (coming soon)

  • Enforce SSO for Organisation access

Management Lockout Protection

  • Enforce automatic session timeout for administrative access

  • Protect against unauthorised changes on unattended devices

Feature Configuration

Organisation Groups

  • Create groups of Organisation Users that can be used across multiple Projects

  • Make groups available to all Projects or specific Projects

White-Label Options (Enterprise plans)

Self-Hosting (Enterprise plans)

Organisation Users Page

Navigate to the Organisation Users page to:

  • View all users across all Projects in your Organisation

  • See which Projects each user belongs to (coming soon)

  • View user roles at Organisation level

  • Invite new users to the Organisation

  • Remove users from the Organisation (removes them from all Projects)

Note: Removing a user from the Organisation removes them from all Projects (though it does not mean their account is deleted from RePro.) To remove someone from a single Project, manage them at the Project level instead.

Organisation Groups (Org Groups)

Organisation Groups are an advanced feature for organisations running multiple Projects with similar team structures.

When to use Org Groups:

  • You run multiple Projects with recurring team members

  • You have core teams that work across all Projects (executives, technical staff)

  • Team membership changes frequently and needs to propagate across Projects

  • You want centralised control over specific groups

How Org Groups work:

  1. Create a group of Organisation Users at the Organisation level

  2. Make the Org Group available to specific Projects or all Projects

  3. Project Admins can then:

    • Create Standard Groups pre-populated from the Org Group (editable at project level)

    • Create Mirror Groups that continuously sync with the Org Group (changes propagate automatically)

Multiple Organisations

Users can belong to multiple Organisations in RePro Stream. Common scenarios:

Freelancers: Work with multiple production companies, each with their own Organisation.

Facilities: Provide services to multiple clients, each with separate Organisations.

Multi-Entity Companies: Separate Organisations for different divisions or subsidiaries.

When you log in, you'll see all Organisations you belong to and can switch between them. Each Organisation maintains separate:

  • Projects

  • Users

  • Settings

  • Billing

Billing and Subscriptions

Organisation Admins manage billing and subscriptions at the Organisation level:

  • All Projects within an Organisation share the same subscription plan

  • Usage across all Projects counts toward plan limits

  • Billing contact and payment information is Organisation-wide

Production Company

Organisation: Acme Productions Ltd

  • Organisation Admins: Managing Director, Head of Production

  • Projects: Each film or series is a separate Project

  • Organisation Groups: Executives, Post Supervisor Team, Technical Support

  • Benefit: Executives automatically added to all new Projects via Mirror Groups

Post-Production Facility

Organisation: Studio Post House

  • Organisation Admins: Facility Manager, Technical Director

  • Projects: One Project per client

  • Organisation Groups: Facility Staff, Engineering Team

  • Benefit: Internal teams have access across all client Projects without manual setup

Corporate Video Department

Organisation: GlobalCorp Media Division

  • Organisation Admins: Video Department Head, IT Manager

  • Projects: Each event or campaign is a separate Project

  • Organisation Groups: Video Team, Marketing Stakeholders, IT Support

  • Benefit: Consistent team structure across all corporate video Projects

Broadcast Network

Organisation: News Network International

  • Organisation Admins: Technical Director, Operations Manager

  • Projects: Regional feeds, studio outputs, field units

  • Organisation Groups: Master Control, News Desk, Field Engineers

  • Benefit: Critical staff have immediate access to new feeds


Best Practices

Organisation Admin Access

  • Have at least two Organisation Admins to prevent lockout

  • Choose trusted individuals with technical and operational knowledge

  • Document who has Organisation Admin access

User Management

  • Invite users at the Organisation level for long-term team members

  • Use Project-level invites for temporary or project-specific users

  • Regularly audit Organisation Users to remove inactive accounts

Security Policies

  • Enable 2FA requirement for sensitive or high-value content

  • Configure SSO if your organisation uses identity management systems

  • Enable Management Lockout Protection for administrative access

  • Require phone verification for additional account security

Organisation Structure

  • Keep Organisation structure simple unless you have specific multi-entity needs

  • Use Projects to separate content rather than creating multiple Organisations

  • Use Organisation Groups only when teams truly work across multiple Projects

Documentation

  • Maintain a document of Organisation Admins and their contact information

  • Document any custom configurations (SSO, white-label settings)

  • Keep billing contact information up to date
