Guest Links enable project users to generate shareable hyperlinks that provide direct access to specific Channels and Programs. These links can be sent to individuals—whether registered users or external collaborators—for quick, frictionless viewing and feedback without requiring registration or login.

What Are Guest Links?

Guest Links provide a streamlined way to share content with directors, producers, clients, or external reviewers who don't have a RePro account. Recipients can access the latest cut, review footage, or provide feedback immediately by simply clicking the link—no sign-up, no password, no barriers.

Important: Guest Links work exactly like regular Project Users. They must be assigned to Groups to control which Channels and Programs they can access. The link itself is just a URL—access permissions are managed through the same Group system used for all project users.

This feature is particularly valuable for fast-turnaround feedback loops where onboarding friction would slow down the review process.

How to Create a Guest Link

Guest Links function identically to regular Project Users in terms of access control:

  1. Create a Guest User: Generate a unique Guest Link (this creates a special user account)

  2. Assign to Groups: Add the Guest User to one or more Groups (this controls their access)

  3. Groups determine access: The Groups control which Channels and Programs the Guest User can view

  4. Share the link: Send the URL to recipients

The Channel or Program you select during Guest Link creation is not controlling access—it's simply adding URL metadata to help direct the recipient to a specific Channel or Program when they first open the link. If the Guest User has access to multiple Channels, they can navigate between them freely.

Creating a Guest Link

To create a Guest Link:

  1. Navigate to your Project Dashboard in the RePro web management portal.

  2. Click Project Users in the left menu.

  3. Click the Create Guest Link button at the top right.

  4. In the resulting popup, configure your Guest Link:

    1. Guest name: Enter a name to identify this guest (e.g. "Client Review - Episode 3")

    2. Description (optional)

  5. Click Add at the bottom right.

Assigning Guest Link Access

After creating a Guest Link, you must assign it to Groups to grant access. This works exactly like assigning regular users to Groups:

  1. Navigate to User Groups in the left menu.

  2. Select the Group you want to add the Guest User to.

  3. Click the Group's row to open the details panel on the right.

  4. Click Edit Group Users.

    1. Find your Guest User in the list (identified by their guest name) and toggle them on.

    2. Click Save at the bottom.

  5. The Guest User now has access to all Channels assigned to this Group.

You can add the same Guest User to multiple Groups to grant broader access, or remove them from Groups to restrict access—exactly like managing regular users.

Managing Guest Links

Guest Users appear in the Project Access list alongside regular users, identified by a "Guest" label.

To manage a Guest User:

  1. Navigate to Project Access in your project.

  2. Locate the Guest User in the list (identified by the "Guest" label).

  3. Click the Guest User's row to open the details panel on the right.

  4. From here you can:

    1. Toggle access: Enable or disable the entire Guest User (this overrides all Group memberships)

    2. Edit Guest User: Change the guest name

    3. Delete: Permanently remove the Guest User and invalidate the link

When a Guest User is disabled, recipients will no longer be able to access any content even if they have the URL.

  1. View Guest Link

  2. Select Channel: This adds URL metadata to direct the guest to this view on first access. It does not control what the guest can access—that's controlled by Group membership.

Security Considerations

Guest Links offer streamlined, account-free viewing that enables directors, producers, and clients to stream content without requiring login credentials or registered user access.

Important: Because a Guest Link URL can be forwarded to anyone, studios and productions with strict security policies should carefully assess their security requirements before enabling this option. Consider whether the convenience of link-based access aligns with your content protection requirements.

Access control best practices:

  • Create separate Guest Users for different recipients or use cases

  • Assign Guest Users to Groups with only the Channels they need to see

  • Disable Guest Users immediately when access should be revoked

  • Regularly review active Guest Users in your project

For projects requiring tighter security, we recommend using standard Project User accounts with full authentication and access control, or waiting for the enhanced Guest Link security features outlined below.
